2025 Analytics & AI Summit: Volunteer Coordinator

The volunteer coordinator is responsible for directing and soliciting volunteers for the annual Analytics & AI Summit. This person works with both event attendee volunteers as well as student volunteers.

Responsibilities

General

  • Facilitate an environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
  • Serve as a member of the Digital Collegium Volunteer Committee to help coordinate volunteers across the organization.

Before the event

  • Coordinate with Marketing and Communications team to use Digital Collegium channels and solicit volunteers
  • Work with operations director to collect and manage volunteer information
  • In partnership with the Analytics & AI Summit chair and members of the Analytics & AI Summit committee, develop a list of volunteer needs.
  • Match volunteers to needs and schedule assignments
  • Manage volunteer communications and information
  • Promote the summit through personal social media and professional networks.

During the event

  • Meet with volunteers to provide orientation and assignments
  • Assess need for volunteers and adjust staffing and assignments as needed
  • Act as primary point of contact for volunteer questions and requests
  • Assist with summit setup
  • Attend all committee meetings

After the event

  • Review volunteer activities to make suggestions for next year’s volunteer process.
  • Send thank-you notes to volunteers
  • Identify strengths of individual volunteers so that future involvement can be stewarded

Qualifications

Required

  • Membership in Digital Collegium, which can be fulfilled at application. (Free general membership for higher education professionals would meet this requirement.)
  • Strong organization, interpersonal, and communication skills
  • Ability to project manage and adhere to strict deadlines.
  • Ability to manage expectations of multiple stakeholders.
  • Attention to detail and ability to self-manage multiple responsibilities.
  • Previous experience managing people, especially volunteers

Preferred

  • Previous experience helping plan and execute a conference, summit, meetup, or similar event
  • Ability to work with project management/team communication platforms such as Slack, Clickup, etc.

Estimated time commitment

  • The volunteer coordinator is expected to virtually attend scheduled committee and other scheduled team meetings.
  • The time commitment for committee work varies, with a minimum of 3 hours per month (attendance at the event notwithstanding).

Analytics & AI Summit attendance is required, and the registration fee is waived for this position.
